Administrative Assistant – Physician Services

Under the direction of the Physician Services Manager, the Administrative Assistant will provide administrative support to the Physician Services Manager, the SLFNHA Northern Medical Director and the Sioux Lookout Regional Physician Services Inc. (SLRPSI) Board. In addition, this position will provide administrative/technical support to health committees and working groups as required.

QUALIFICATIONS

  • Must have certificate or diploma in Secretarial Arts and/or Office Administration
  • At least two years’ experience in Health administration/support services
  • Strong computer skills; proficiency in Microsoft Office a must including excellent Excel knowledge
  • Must have complete experience with various/multiple meetings such as, Board meetings
  • Superior time management and organizational skills; very detail orientated
  • Ability to work independently with the flexibility of being a team worker

Responsibilities

  • Provide administrative assistance to the Physician Services Manager and the Medical Director
  • Provide administrative assistance to the SLRPSI Board: maintain filing system, prepare, distribute and keep record of minutes, develop/draft documents, arrange teleconferences, arrange special meetings as well as bimonthly meetings, arrange travel including necessary paperwork, and other related duties requested by the chair or/and members
  • Coordinates the preparation of materials for boards, committees, working groups and community visit(s)
  • Prepare documents for distribution; letters, memorandums, work plans, administrative circulars, internal instructions, reports and confidential correspondence
  • Answer/direct requests from inside and outside the agency for information
  • Maintain/update filing systems; both paper and electronic based files
  • Prepare and assist in creating Power Point presentations; Proficient with current electronic communication tools
  • Maintain and update policies and procedures
  • Support program development activities
  • Provide admin back up to the Physician Recruiter & Contract Supervisor when required
